Job Scope
• General Administration
• Answer all incoming phone calls from all service lines
• Perform data entries of all incoming & outgoing equipments
(regional territories) into service control database
• Arrange stationery and expandable daily needs for service department
• To ensure all registration of service information into
related databases
• To ensure proper filing of all service related documents
• Planning and Support
• Answer all requests for service documents from agents
• Agent Order
• To receive and file all agent's parts order
• To check parts and price integrity of agent's order
• To issue Proforma Invoice for agent's order
• Service Documentation
• To check on history of supply for all service documents
• To update all modification and new service documents
• To convert all service documents into electronic format
• Incoming Inspection
• To account for all accessories received with incoming equipments
• To register all equipment information received
• To ensure filing of all consignment notes & invoices
• Repair Quotation
• To generate repair history for incoming equipments
• Repair Confirmation
• To ensure filing of all purchase order and acknowledgement
• Repair Inspection
• To prepare and send all job sheet to related departments
• To ensure proper filing of all related service documents
• Outgoing Items
• To ensure all equipments are returned with their
accompanied accessories
• To prepare tax invoices for all chargeable repairs (liase
with sales admin)
• To prepare shipping invoice, insurance and delivery notes
• To arrange for insurance coverage for equipments (liase
with sales admin)
• REP(Repair Exchange Program)
• To register all telescope or instrument information into
related database
Duration
• Minimum 1 month to 1.5 months
Preference/Requirements
• Knowledge of MS Access & Excel
• Familiar with proper filing and documentation
